This Privacy Policy explains how Irod Processing LLC (“Irod Processing,” “we,” “us,” or “our”) handles information in connection with our website irodprocessing.com (the “Site”) and our back-office, data, and loan-processing services.

01 Scope of this policy

This policy covers information we handle in two different roles:

  • As a business — information we collect directly through our Site and from prospective and current clients (for example, when you contact us).
  • As a service provider — information we process on behalf of our clients to deliver our services (for example, borrower or patient records contained in the files our clients send us). For that information, our client decides how it is used, and the processing is governed by our agreement with that client — see “Data we process for clients.”

  • Client account information — details needed to set up and manage a services engagement.

  • Usage & device data — IP address, browser and device type, pages viewed, and referring links.

03 Data we process for clients

When we provide our services, we process information contained in the files and systems our clients give us access to. This may include personal information about our clients' own customers, borrowers, patients, or employees.

For this information, our client is the party responsible for it. We act on our client's behalf and under their instructions, and we process it only to provide the agreed services, as set out in our written agreement with that client. Where this information includes protected health information or financial information, we handle it under the applicable agreements (for example, a business associate agreement) and applicable laws.

If you are an individual whose information was given to us by one of our clients and you want to access, correct, or delete it, please contact that organization (the business you dealt with) directly. We will support our client in responding to your request.

04 How we use information

  • Respond to inquiries and set up and manage client engagements.
  • Provide, maintain, and improve our services.
  • Operate, secure, and improve the Site, and keep business records.
  • Send service-related communications, and marketing where you have opted in (you can opt out anytime).
  • Detect and prevent fraud, abuse, and security incidents, and comply with law.

05 Cookies & analytics

We may use cookies and similar technologies to keep the Site working and understand general traffic. You can control cookies through your browser settings, and where required by law we honor recognized opt-out preference signals such as Global Privacy Control (GPC).

06 How we share information

We do not sell personal information. We share information only as needed to operate and deliver our services:

  • Our clients — we return processed information to the client it belongs to.

07 Security & confidentiality

We treat the information we handle as confidential and apply administrative, technical, and physical safeguards designed to protect it, including encryption in transit (HTTPS) and access controls that limit who can view files. We also work under confidentiality terms with our clients and vendors. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

08 Data retention

We keep information we collect as a business for as long as needed for the purposes above and to meet legal, tax, and recordkeeping requirements. Information we process for clients is retained and deleted according to our agreement with the client and applicable law.

09 Your privacy rights

Depending on where you live, you may have rights to access, correct, or delete your personal information, and to opt out of marketing. For information we hold as a business, contact us using the details below. For information we process on behalf of a client, please contact that client, and we will assist them in responding.

10 California privacy rights

If you are a California resident, the CCPA (as amended by the CPRA) gives you the right to know, access, correct, and delete personal information, and to opt out of any “sale” or “sharing” of it (including via recognized opt-out preference signals such as GPC), without discrimination for exercising your rights.

11 Children's privacy

Our Site and services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information from children through the Site.
